Vendor empanelment

If your procurement or HR shared-services team needs a recruitment partner on the approved vendor list before a single mandate can be raised, this is the page for them.

Why empanelment usually drags

Empanelment is rarely difficult; it is just slow, and it is slow for boring reasons. A document is missing, the agreement goes back and forth between legal teams over one indemnity clause, or the form asks for a certificate the agency has to go and obtain. Meanwhile the hiring manager who raised the request three weeks ago still cannot brief anyone.

We would rather compress that. Tell us what your process requires and we will send the full pack in one go rather than a document at a time.

What we can provide

The standard documentation set most Indian procurement processes ask for, plus whatever else your template requires.

  • Company registration and incorporation details.
  • GST registration certificate and PAN.
  • MSME / Udyam registration, where it matters for your vendor category.
  • Bank details on letterhead for vendor master creation.
  • A signed recruitment services agreement on your paper or ours.
  • References from existing clients, on request and with their permission.
  • Data-protection and confidentiality undertakings covering candidate data.

Commercial terms and SLAs

We work on standard contingency terms — a percentage of annual CTC, payable on the candidate joining — with the rate depending on role level and volume. Retained terms are available for senior and confidential searches, where advertising the role is not an option.

Every empanelment includes a replacement guarantee period, agreed in writing before the first mandate. We would rather scope that honestly at the start than argue about it after a candidate exits in month two.

  • Contingency or retained, depending on the mandate type.
  • Replacement guarantee agreed up front, in the agreement.
  • Invoicing and payment terms aligned to your procurement cycle.
  • Turnaround-time and shortlist-quality SLAs, where you run vendor scorecards.

How to start

Submit a requirement with your company details and note that you need empanelment first, or email the empanelment pack straight to our hiring desk. We will complete your forms and return the documentation set together rather than in instalments.

If your process needs a call with procurement before anything is signed, say so and we will arrange it.

Common questions

What documents do you provide for vendor empanelment?
Company registration and incorporation details, GST certificate, PAN, MSME/Udyam registration, bank details on letterhead, a signed services agreement, confidentiality and data-protection undertakings, and client references on request.
How long does empanelment take?
On our side, we aim to return the completed pack within a couple of working days of receiving your forms. The overall timeline is usually set by your own procurement and legal review rather than by us.
What are your commercial terms?
Standard contingency — a percentage of annual CTC, payable on joining — with the rate depending on role level and volume. Retained terms are available for senior and confidential searches. Everything is agreed in writing before the first mandate.
Do you offer a replacement guarantee?
Yes, and the period is agreed in the empanelment agreement rather than left vague. We would rather set it honestly at the start than dispute it after an early exit.
Can you sign our agreement rather than yours?
Yes. Most of our clients empanel us on their own paper, and we are comfortable working from your template.
