How to Choose a Staffing Consultant in India for Non-IT Hiring

· Swaraaj Consultancy

Hiring for non-IT roles is different from hiring for tech. The roles are often in large numbers. The candidates are spread across many cities. And the work is tied to targets, shifts or daily processes. A weak hiring partner can cost you weeks and a lot of wasted interviews. This guide shows you what to check before you pick one.

Why non-IT hiring needs a different kind of partner

Non-IT roles include:

  • Sales and field roles in insurance, banking and NBFC
  • Collections and credit roles
  • Healthcare BPO and back-office roles
  • Voice and non-voice BPO roles
  • KPO and analytics roles
  • Shared services and GCC operations roles

For these roles, a good partner must know the role itself. A keyword match on a CV is not enough.

1. Do they know your type of role?

Many agencies say “we hire for everything.” That usually means they know nothing deeply.

Ask:

  • Which non-IT roles have you filled recently?
  • Have you hired for this exact role before?

2. How do they screen candidates?

Some agencies just forward every CV they get. A good one filters first.

Ask:

  • What do you check before you send me a profile?
  • What questions do you use to remove mismatched candidates?

3. Can they hire in more than one city?

Your branches or teams may sit in different cities. One partner for all of them saves you a lot of coordination.

Ask:

  • Have you hired in cities outside your home city?
  • How do you find candidates in a new city?

4. Can they handle both big and small hiring?

Some hiring is 2 or 3 people. Some is 20 or 30. Check that they can do both.

Ask:

  • What is the largest batch you have handled?
  • What happens when a role is hard to fill?

5. Are their fees and terms clear?

Unclear fees cause problems later. Get the terms in writing before you start.

Ask:

  • When do I pay: at joining or earlier?
  • What is the replacement policy if the candidate leaves early?

6. Do they give honest timelines?

Be careful with a partner who promises a fixed number of days for every role. Hiring time depends on the role, the city and the pay offered. An honest partner tells you what is realistic and updates you as work moves.

Ask:

  • How will I know the status of each opening?
  • Will you tell me early if a role is hard to fill?

7. Can they show a track record?

You do not need client names. You do need proof they have done this kind of work.

Ask:

  • What kind of roles have you placed?
  • Can you explain your process with a recent example?

Warning signs

  • They cannot explain how they screen
  • They promise results before they understand the role
  • They send many CVs and none of them fit
  • They avoid questions about fees or replacement

A simple way to decide

Give 2 or 3 agencies the same opening. Compare:

  • How many profiles fit your needs
  • How well they understood the role
  • How clearly they communicate

The best partner is the one that saves your team time, not the one that sends the most CVs.
